In this policy, “we”, “us”, and “our” mean MiraiTech BV and The Product Consortium.
2. What this policy covers
This policy explains what personal data we collect, why we collect it, how we use it, and your rights. It applies to:
- Visitors of our website
- People who create an account
- Members
- People who register for events and workshops
- People who contact us
3. What personal data we collect
We only collect what we need to run the membership and events.
A) Account and membership
- Name
- Email address
- Password (stored in a hashed form)
- Membership status and dates
- Invoices and billing details (for example company name, VAT number, billing address if provided)
B) Payments
Payments are handled by our payment provider(s). We do not store full card details. We may receive:
- Payment status (paid, failed, refunded)
- Transaction references
C) Events
- Event registrations
- Attendance information (where relevant)
- Event-related messages you send us
D) Member directory (members-only)
If you choose to appear in the directory, we may collect:
- Name, company, job title
- LinkedIn URL
- Optional: phone number, city, short bio, topic tags
- Your directory consent settings
- Your preferred contact method
We do not show your email address or phone number to other members by default.
E) Intro requests
If members use the “request intro” feature, we process:
- Who requested the intro
- Who the request is sent to
- The message content
- Accept or decline outcome
F) Communications
If you subscribe or contact us:
- Email messages and replies
- Newsletter subscription details and preferences
- Basic tracking such as whether a newsletter was opened, if enabled by the email tool we use
G) Website usage and cookies
We may collect:
- IP address (often shortened or stored in logs only)
- Device and browser type
- Pages visited and basic usage statistics
This is usually done via cookies or similar tools. See section 10.
4. Why we use your data (and legal basis)
A) To provide the membership and events (contract)
- Create and manage your account
- Provide member access to the portal
- Manage registrations and event access
- Provide workshops included in membership
- Provide invoices and handle payments
B) To run the member directory and intros (consent and legitimate interest)
- Show your profile to other members only if you opt in
- Send intro requests and related emails
- Prevent misuse and spam
C) To communicate with you (legitimate interest and consent)
- Reply to questions
- Send service emails (membership, events, important updates)
- Send newsletters if you opted in
D) To meet legal duties (legal obligation)
- Accounting and tax records
- Handling disputes or complaints
E) To improve the site and keep it secure (legitimate interest)
- Fix bugs and measure performance
- Detect fraud or misuse
- Keep logs for security
5. Who we share data with
We do not sell your data.
We may share limited data with trusted providers that help us run the service, such as:
- Hosting and database providers
- Email and newsletter tools
- Payment providers
- Analytics tools (if used)
We only share what is needed for them to do their job, under contracts that protect your data.
Partners and perks
If a member claims a partner perk that requires partner action, we may share the minimum needed to fulfil it. Where possible, we let the member trigger this themselves inside the member portal.
6. Member directory visibility and email/phone safety
- The directory is visible to logged-in members only.
- Email addresses are not shown in the directory.
- Phone numbers are optional and are not shown by default.
- Intros are handled via “request intro” so members are not scraping contact details.
7. International transfers
We try to keep data in the EEA where possible. Some providers may process data outside the EEA. If that happens, we use legal safeguards such as standard contract clauses where required.
8. How long we keep your data
We keep data only as long as needed.
Typical retention:
- Account and membership data: while you are a member, and for a reasonable period after for admin and support
- Invoices and accounting records: as required by law (often around 7 years)
- Newsletter subscription data: until you unsubscribe
- Directory profile data: while you opt in, or until you remove consent
- Security logs: limited periods unless needed for an incident
You can request deletion. Some data may need to be kept for legal duties.
9. How we protect your data
We use common security measures such as access controls and encrypted connections. No system is perfect, but we work to reduce risk.
We recommend:
- Use a strong password
- Do not reuse passwords
We plan to add optional extra login security (such as multi-step sign-in) when available.
10. Cookies and similar tools
We may use cookies to:
- Keep you signed in
- Remember settings
- Measure basic usage
If we use optional analytics or marketing cookies, we will ask for consent where required. If you prefer, you can disable cookies in your browser, but parts of the site may not work.
11. Your rights
Depending on your situation, you may have the right to:
- Ask for access to your data
- Correct incorrect data
- Ask for deletion
- Restrict or object to processing
- Ask for data portability
- Withdraw consent (for example directory listing or newsletter)
